Who we are
Axxent Technologies Ltd ("axxent", "we", "us") is the data controller for personal data collected through this website and in the course of our business. We are registered with the Information Commissioner's Office (ICO) under registration reference ZC177470. Our registered office is Vale Farm, Vale Road, Claygate, Esher, Surrey, KT10 0NN, and you can contact us about data protection at hello@axxent.co.uk or on 01372 678 670.
The personal data we collect
- Enquiry data — when you email us, call us or ask us to call you back, we receive the details you provide: typically your name, contact details, organisation and the content of your enquiry.
- Website analytics data — if (and only if) you accept analytics cookies, Google Analytics collects information about how you use this site: pages viewed, approximate location derived from a truncated IP address, device and browser type, and how you arrived at the site.
- Technical log data — our hosting provider maintains standard web server logs (IP address, request, date and time) for security and operational purposes.
- Business relationship data — if you become a customer or supplier, we process the information needed to deliver services, manage the account and invoice, and we will provide further privacy information relevant to those services at that time.
How and why we use it
- To respond to enquiries and provide our services — legal basis: steps at your request prior to entering a contract, or performance of a contract (UK GDPR Article 6(1)(b)), and otherwise our legitimate interests in running our business (Article 6(1)(f)).
- To understand and improve how the website is used — legal basis: your consent (Article 6(1)(a)), given via the cookie banner and withdrawable at any time via "Cookie preferences" in the footer.
- To keep the website and our systems secure — legal basis: our legitimate interests (Article 6(1)(f)).
- To comply with legal obligations — for example tax and accounting record-keeping (Article 6(1)(c)).
We do not sell personal data, and we do not use it for automated decision-making that produces legal or similarly significant effects.
Who we share it with
We use a small number of carefully chosen service providers who process personal data on our behalf under contract: Microsoft (Microsoft 365 — email, calendars and document storage), Heart Internet (website hosting, United Kingdom) and, where you consent to analytics cookies, Google (Google Analytics). We may also share information where required by law, or with professional advisers under duties of confidentiality.
International transfers
Our providers may process limited personal data outside the UK (for example, Google and Microsoft operate globally). Where that happens, transfers are protected by UK-approved safeguards such as the UK Extension to the EU–US Data Privacy Framework, the UK International Data Transfer Agreement, or the Addendum to the EU Standard Contractual Clauses.
How long we keep it
Enquiry correspondence is kept for as long as needed to deal with the enquiry and for a reasonable period afterwards (normally no more than 24 months if no business relationship follows). Customer and financial records are kept for the periods required by law (normally 6 years plus the current year). Analytics data is retained in accordance with the Google Analytics retention setting we apply (14 months).
Cookies
This website sets no cookies at all unless you accept them. If you accept analytics cookies via the banner, Google Analytics sets cookies (including "_ga" identifiers) to distinguish visitors. Your choice itself is stored on your device (not on our servers) so we don't ask you on every visit. You can change your mind at any time via the "Cookie preferences" link in the footer, and you can also clear cookies through your browser settings.
Your rights
Under the UK GDPR you have rights to access your personal data, to have inaccurate data corrected, to have data erased, to restrict or object to processing, to data portability, and to withdraw consent where processing is based on consent. To exercise any of these, contact hello@axxent.co.uk. We will respond within one month.
If you are unhappy with how we have handled your personal data, you have the right to complain to the Information Commissioner's Office: ico.org.uk, telephone 0303 123 1113, or Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF. We would welcome the chance to resolve any concern directly first.
